Producing management accounts the old-fashioned way still beats asking AI. But AI still helps…

Can you just ask AI to do the management accounts?

It's a question we hear more and more from business owners: "Can't AI just produce the

management accounts now?" The honest answer is that producing the numbers and understanding the numbers are two different jobs — and after 25+ years of working with growing businesses, I know which one matters…

Why the old-fashioned way still wins:

The heart of management accounts isn't the tables or the graphs. It's judgement, built on context.

- Is this month's dip in revenue seasonal, a one-off, or the start of a structural decline? The data alone can't tell you. Knowing the business — its rhythms, its customers, its quirks — is what turns a report into insight.

- Some of the most important information never appears in the ledger: payment habits, the real story behind a variance, how the numbers are actually being used day to day.

- AI will happily attach a confident-sounding commentary to any set of figures. But if that

commentary is wrong, nobody is accountable for it. Management accounts drive real decisions — hiring, pricing, funding — so an error isn't a curiosity, it's a cost.

An example:

A client's AI-generated draft monthly report shows improving gross margin and recommends expanding.

On reviewing the report, I see the improvement came from a one-off supplier rebate, inventory has piled up because a big customer postponed an order, and receivables are ageing badly — the cash position is far weaker than the profit suggests.

The right call isn't "expand"; it's "fix working capital first." No algorithm caught that.

That said, we do still use AI. That doesn't mean AI stays out of the room. Used in the right places, it earns its keep:

- First drafts: structuring commentary, tightening summaries, tidying formats

- Repetitive checks, calculations, and chart/table automation

- Explaining concepts, stress-testing assumptions, brainstorming scenarios — a good "assistant"

In other words, AI speeds things up; it doesn't decide what matters. Verifying where the numbers came from and layering on judgement is still a human job — and it's the part that actually adds value.

The Takeaway:

Management accounts aren't something you just churn out at month end by pressing a button. The figures need to be analysed, corrected if necessary and then the reports are produced. Their accuracy is paramount as the results allow the business to act on them…

To produce them, AI is a genuinely useful assistant — but the weight of the decisions still sits with a person who knows the business. That's why the old-fashioned way — looking directly, asking questions, verifying — isn't going anywhere.

If your reporting isn't giving you the clarity you need, get in contact and let's talk.
